Terms & Conditions

Welcome to Vanshivat. By accessing and using our facilities, including hotel rooms, banquet services, and restaurant, you agree to comply with and be bound by the following terms and conditions. Please read these terms carefully.

1. General Terms of Use

1.1 Acceptance of Terms: By making a booking or using our facilities, you agree to abide by all terms, conditions, and policies set forth here.

1.2 Right to Modify: Vanshivat reserves the right to modify these terms at any time. Any updates will be posted on this page, and it is your responsibility to review them periodically.

2. Hotel Room Reservations

2.1 Booking Confirmation: Reservations are confirmed upon receipt of full payment. A booking reference will be sent to you via email or SMS.

2.2 Check-in and Check-out:

  • Check-in time is at 2:00 PM, and check-out time is at 11:00 AM.

  • Early check-in and late check-out requests are subject to availability and additional charges.

2.3 Cancellation Policy:

  • 7+ days before check-in: Full refund.

  • 24 hours before check-in: 10% cancellation fee.

  • 1 hour before check-in: 25% cancellation fee.

  • No-show: 100% charge with no refund.

  • Refunds for eligible cancellations will be processed within 5-7 working days.

2.4 Room Usage: Rooms are for registered guests only. Any additional guests must be registered with the front desk and may incur extra charges.

2.5 Damages: Any damage to room property will result in charges for repairs or replacements, at the discretion of Vanshivat management.

3. Banquet Services

3.1 Booking Confirmation: Banquet bookings require a deposit to secure the date. Full payment must be made at least 15 days before the event date.

3.2 Event Adjustments:

  • Changes to guest count or event date must be requested at least 15 days in advance and are subject to availability.

  • Additional charges may apply for increases in guest count.

3.3 Cancellation Policy:

  • 10+ days before the event date: Full refund.

  • Within 10 days of the event date: 50% cancellation fee.

  • Refunds for eligible cancellations will be processed within 5-7 working days.

3.4 Venue Setup: Guests are responsible for discussing their event setup requirements with Vanshivat staff in advance. Changes on the day of the event may not be accommodated.

3.5 Damage and Liability: Any damages to property or equipment during the event will be charged to the booking party. Vanshivat is not liable for loss or theft of personal belongings during events.

4. Restaurant Reservations & Special Events

4.1 Reservations: Advance reservations are recommended. Walk-ins are welcome based on availability.

4.2 Prepaid Events: For special events requiring pre-payment, cancellations made:

  • 5+ days before the event: Full refund.

  • 3-4 days before the event: 20% cancellation fee.

  • Within 48 hours: Non-refundable.

  • Refunds for eligible cancellations will be processed within 5-7 working days.

4.3 Conduct: Guests are expected to behave respectfully towards staff and other diners. Vanshivat reserves the right to refuse service to individuals who exhibit inappropriate behavior.

5. Payment & Refunds

5.1 Accepted Payment Methods: Vanshivat accepts payments by credit card, debit card, and UPI. Full payment may be required to confirm a booking.

5.2 Refund Processing: Refunds for eligible cancellations will be processed back to the original payment method within 5-7 working days.

5.3 Non-Refundable Services: No refunds are provided for no-shows, services already rendered, or discounted/promotional bookings unless specified otherwise.

6. Privacy & Personal Data

6.1 Data Collection: By making a booking or inquiry, you consent to the collection and use of your personal information in accordance with our Privacy Policy.

6.2 Data Security: Vanshivat takes reasonable measures to protect personal information but is not liable for any unauthorized access or breach beyond our control.

6.3 Use of Personal Information: Personal information provided during booking or registration will be used for administrative purposes only. We do not share your information with third parties without your consent.

7. Guest Responsibilities

7.1 Compliance: Guests must comply with all applicable laws, rules, and regulations during their stay or event at Vanshivat.

7.2 Personal Property: Vanshivat is not responsible for any loss, damage, or theft of personal property. Guests are encouraged to use the safe deposit boxes available in hotel rooms for valuables.

7.3 Behavior: Any behavior deemed inappropriate, disruptive, or threatening may result in removal from the premises without refund.

8. Liability

8.1 General Liability: Vanshivat is not liable for any direct, indirect, incidental, or consequential damages resulting from the use of our services, except in cases of gross negligence or willful misconduct.

8.2 Force Majeure: Vanshivat shall not be liable for cancellations, interruptions, or delays due to circumstances beyond our control, including natural disasters, strikes, or governmental regulations.

8.3 Third-Party Services: Vanshivat is not liable for services provided by third-party vendors, such as event entertainers, decorators, or caterers.

9. Governing Law

These terms and conditions are governed by the laws of India, and any disputes arising under this agreement shall be subject to the jurisdiction of courts in Varanasi.
